What we hold

Data we collect

Two kinds of information reach us: what you type into a quote request or email, and a small set of technical signals your browser sends when a page loads.

Contact details you give us

Name, company, email address and telephone number, so we can reply to the enquiry and address you correctly in correspondence.

Shipment information

Pickup and delivery details, loading and unloading preferences, cargo type, weight and dimensions — the inputs we need to price a transport job and plan the route.

Correspondence history

Emails, phone notes and any documents you send us (customs papers, packing lists, delivery instructions) held together with the shipment they belong to.

Technical data on browsing

Pages visited, referring link, approximate region, browser type and device category. This is limited data used to keep the site working and to see which pages people actually find useful.

We do not ask for payment card details through this website. If a shipment is arranged, invoicing details are exchanged directly with our office.

Purpose and limits

Why we use it

Everything we hold has a stated job. If a use is not on this list, we do not do it with your data.

  1. 01

    Answering your enquiry

Replying to a quote request or question by email or phone, and following up once if we have not heard back.

  2. 02

    Preparing a transport quote

Working out a price from the pickup, delivery, cargo and timing details you provide, and confirming what the rate includes.

  3. 03

    Managing a booked shipment

Planning the collection, running the route, passing customs, and informing you if a delivery window changes.

  4. 04

    Keeping the website running

Watching for errors, blocking abusive traffic, and understanding which pages visitors reach before they get in touch.

We do not use your data for unrelated marketing, we do not sell it, and we do not build advertising profiles from it.

Legal basis

On what grounds we process it

Belgian and EU data protection law requires that every processing activity rests on a stated basis. Here is ours, tied to what we actually do.

Your request

When you send a quote request or contact us, we process the details you provide on the basis of that request — it is the step needed before any contract can be agreed.

Performing a transport contract

If a shipment is booked, we process the related data to carry out that contract — collection, carriage, customs clearance and delivery — and to keep the records Belgian commercial and tax rules require.

Consent and legitimate interest

Cookies and technical tracking rely on your consent where consent is required, or on our legitimate interest in keeping the website secure and working correctly. You can withdraw consent at any time — the cookie policy explains how.

Where we rely on legitimate interest, we have weighed our need to run the business against your rights and freedoms, and we keep the data involved to the minimum needed for that purpose.

Sharing & disclosure

Who sees your information

We do not sell personal data. Information leaves our office only when a shipment you have asked us to run needs another party to move.

Transport partners

Subcontracted carriers or partner hauliers who physically move the load when we hand a leg of the route to them.

When needed

Customs agents

Declarants and customs brokers who clear a cross-border consignment, receiving only the papers relevant to that clearance.

When needed

Warehousing providers

Storage operators who hold a consignment between legs, with the goods details needed to receive and release it.

When needed

Public authorities

Where Belgian or EU law requires disclosure — for example a lawful request from a tax or customs authority.

If required

Where a partner is outside the European Economic Area, we rely on a lawful transfer mechanism and keep the data limited to what that leg of the shipment needs.

Retention

How long we keep it

We keep data for the period each record needs to do its job, and no longer. When a retention period ends, the record is deleted or anonymised.

Quote enquiries that do not lead to a booking

Held while the enquiry is active and for a short follow-up period, then deleted unless you ask us to keep it on file for a future shipment.

Short-term

Booked shipment records

Kept for the period Belgian commercial and tax record-keeping rules require, so the consignment can be traced and audited if a question is raised later.

Statutory period

Customs and clearance paperwork

Retained for the period customs rules set for the consignment type, alongside the shipment record it belongs to.

Statutory period

Website technical data

Held for a limited period for security and analysis, then deleted or reduced to aggregate figures that no longer identify a visitor.

Your rights

What you can ask us to do

Under the GDPR you have a set of rights over the data we hold about you. To use any of them, send a request to the contact details on this page and we will reply within one month.

We answer every privacy request from the same office that handles your freight — no ticket queue, no automated response.

Access

Ask for a copy of the personal data we hold about you, together with a short note on why we hold it.

Correction

Point out anything that is wrong or out of date — a company name, an address, a phone number — and we will fix it.

Deletion

Ask us to erase data we no longer need, subject to records we are required to keep for tax, commercial or customs purposes.

Restriction & objection

Ask us to pause processing while a question is resolved, or object to a use you consider unnecessary.

Withdraw consent & complain

Where processing rests on your consent you may withdraw it at any time, without affecting what was done before. If you are not satisfied with our response, you have the right to lodge a complaint with the Belgian Data Protection Authority.
